Terms and Conditions
Last updated: 7 October 2026
These are the terms for using Flint Books, our bookkeeping and accounting software for UK businesses. Please read them before you use the service. We have kept them in plain English.
1. About these terms
These terms govern your use of Flint Books, our cloud bookkeeping and accounting software, and form an agreement between you (or the business you represent) and Flint Digital, the provider of Flint Books.
By creating an account, or by using Flint Books, you confirm that you accept these terms. If you are agreeing on behalf of a company or other business, you confirm that you are authorised to agree to them for that business.
2. What Flint Books does
Flint Books helps you keep business records: importing bank transactions, categorising them against a chart of accounts, tracking VAT, raising and managing invoices, recording expenses, and producing reports such as management accounts, forecasts, micro-entity accounts and VAT returns.
Some features rely on services provided by others, such as your bank, HMRC and Companies House. Those services have their own rules and terms, and we cannot control how they behave.
3. Your account
You must give accurate information when you set up your account and keep it up to date. You are responsible for keeping your login details secure and for everything done through your account.
You must only add records for businesses you are entitled to act for, and you must only invite people to your account who are authorised to see that business data.
If you believe someone else has accessed your account, tell us and change your password as soon as you can.
4. Subscriptions, trials and payment
Flint Books may be offered with a free trial, after which a paid subscription is required to keep using it. Prices, plan features and any limits are shown in the app and are charged in pounds sterling.
Subscriptions are billed in advance and renew automatically until you cancel. You can cancel at any time and you will keep access until the end of the period you have already paid for. We do not refund part months, except where the law requires it.
If we change our prices, we will give you reasonable notice before the change takes effect.
5. Your data
Your accounting records stay yours. You give us permission to store and process them so we can provide Flint Books to you, including sending data to services you have connected.
You are responsible for the accuracy and completeness of what you enter or import, and for keeping your own copies of anything you cannot afford to lose. You can export your records from the app at any time.
We access your data only to run and support the service, or where we are required to by law. We do not sell your data.
6. Connected services
You can connect Flint Books to third parties, for example a bank feed, HMRC for VAT filing, or an email provider for sending invoices. Connecting a service means you authorise us to exchange data with it on your behalf.
Those providers set their own terms and can change, limit or withdraw access at any time. We are not responsible for their availability, their accuracy, or for anything they do with data you have asked us to send them.
7. Acceptable use
You must use Flint Books lawfully and only for its intended purpose. You must not attempt to break into the service or another customer’s data, disrupt or overload it, copy or resell it, work around any usage or plan limits, or upload anything unlawful or harmful.
Access is for your business and the people you invite. Sharing logins outside that group is not permitted.
8. Filing, figures and advice
Categorisation rules, calculations and prepared returns are based on the data held in your account. They are tools to help you, not a substitute for professional judgement.
Flint Digital does not provide accounting, tax, legal or investment advice, and we are not your accountant. You are responsible for reviewing and approving anything filed with HMRC or Companies House before it is submitted.
9. Availability and changes to the service
We work to keep Flint Books available and reliable, but we cannot promise it will never be interrupted. Maintenance, updates, and failures at third parties may cause downtime.
We may add, change or retire features. If we make a significant change that reduces what your plan provides, we will give you reasonable notice.
10. Our liability
Flint Books is provided as it is. To the extent the law allows, we are not liable for indirect or consequential losses, loss of profit, revenue, goodwill or anticipated savings, or for losses caused by data you entered incorrectly or by a third-party service.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
Our total liability to you for any claim relating to Flint Books is limited to the subscription fees you paid us in the twelve months before the claim arose.
11. Ending your subscription
You can cancel or close your account at any time from within the app.
We may suspend or end your access if you do not pay, if you breach these terms, or if we are required to by law. Where we end your access for a reason other than your breach, we will refund fees for the unused part of your subscription.
After your account closes, you have 30 days to export your records, after which we may delete them.
12. Changes to these terms
We may update these terms to reflect changes in the service or the law. We will publish the updated version on this page and update the date shown above.
If a change is significant, we will tell you by email or in the app before it takes effect. Continuing to use Flint Books after that means you accept the updated terms.
13. Governing law and contact
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
If you have any questions about these terms, or about Flint Books generally, please get in touch through flintdigital.co.uk.
